Operational Roles 

  • Location: UK  Remote, Hybrid or Office-Based (Bristol, UK)

    Hours:  Full-time (37.5 hrs/week), Monday to Friday - 9am - 5:30pm

    About the role

    We’re looking for someone who thrives in a dynamic, fast-moving environment and is excited by the chance to influence how a scaling organisation operates. In this role, you’ll sit at the heart of Swoop — transforming data into insights, streamlining processes, and helping teams work more effectively as we grow.

    You’ll have significant exposure across the business, working closely with our Head of Operations and partnering with Sales, Customer Experience, Tech, Marketing and Finance.

    Key responsibilities

    • Data and insights

      • Analyse operational and commercial data to identify trends, risks, and opportunities

      • Build and maintain dashboards and reports to support decision-making

      • Translate complex data into clear, actionable insights for non-technical audiences

      • Conduct extensive research on external tools and software, and present findings and recommendations 

    • Process improvement

      • Map and review business processes, highlighting bottlenecks and inefficiencies

      • Recommend improvements that balance commercial performance with customer experience

      • Conduct discovery sessions with internal stakeholders to understand workflows, pain points, and improvement opportunities

      • Support the implementation of new systems, tools, and workflows

    • Project support

      • Work alongside the Head of Operations on strategic and operational projects

      • Track progress against goals, ensuring accountability and clarity on outcomes

      • Coordinate between teams to keep initiatives moving

      • Assist with testing, validation, or user training during project implementation and rollout phases

    • Documentation and Process Mapping 

      • Create and maintain detailed documentation of business processes, workflows, and systems

      • Support change management initiatives by providing documentation for new processes and tools

      • Conduct process walkthroughs with stakeholders to support new processes and systems implementation

      • Understand and embody Swoop’s four sustainability priorities and embed in your day-to-day responsibilities, decision making, and collaboration 

    About you 

    • Proven track record of success in analytical or operational roles such as Business Analyst, Operations Specialist or similar with increasing responsibility and complexity, and bring a strong problem-solving mindset grounded in data

    • You're tech-savvy, with excellent Google Sheets capabilities, and have experience with CRM solutions (ideally HubSpot) and especially integrating off-the-shelf functionality into legacy systems

    • You have a proven ability to create standard operating procedures and documenting processes clearly and effectively and have ideas on this you can share with us

    • Demonstrated ability to navigate and improve operational systems in fast-paced or scaling organisations

    • You are skilled at turning analysis into clear, actionable recommendations that drive impact

    • Comfortable working across multiple teams and juggling competing priorities, you're collaborative and confident in navigating complexity

    • A self-starter by nature, you're curious, proactive, and unafraid to challenge the status quo to improve processes and outcomes

    • Help business users and managers understand available options — technical or otherwise — and identify the most effective path forward

    • A highly organised professional, you thrive in fast-paced environments, understand business priorities and can adapt quickly and thoughtfully

    • You’re solutions-driven - able to find ways to improve processes and ways of working, considering multiple options before deciding on the agreed approach to drive conversion, efficiency and cost per booking objectives

    • You’re an analytical thinker who challenges assumptions and digs into root causes to ensure initiatives are aligned with business priorities

    Employment details 

    Holiday:

    • Twenty-five days paid holiday, in addition to your birthday and public holidays 

    Working Hours:

    • This is a full-time role, typically 37.5 hours per week, Monday to Friday - 9am - 5:30pm 

    Working Arrangements:

    Remote (UK)/Hybrid or office-based (Bristol, UK)

    • Even for remote team members, occasional visits to our Bristol office may be required for training, team collaboration, or key meetings

    • All team members will join our Swoop Togetherness event, held once a year in the UK — a chance for the entire global Swoop team to connect in person
