About the role
This is a newly created role at Swoop, and an important one.
We’re looking for an experienced, confident Business Analyst to work closely with our Head of Operations & our Digital Transformation Lead and act as a key representative of the Operations & Technology function across the business. You will be the bridge between systems, processes, data, and people, with a particular focus on our digital and systems change projects — working with stakeholders at all levels, from senior leadership to operational teams, to help Swoop evolve how we work.
This role will suit someone who has been operating as a Business Analyst for some time, is comfortable working autonomously in a small business environment, and brings a calm, assured, and pragmatic approach to change. You will take a hands-on lead in deeply understanding how our CRM, CMS, and wider supporting systems and tools are used today, where they support the business well, and where they create friction or inefficiency. As Swoop embarks on an exciting period of digital transformation, this role will sit at the heart of that change, helping to shape how our systems, processes, and data evolve to support the business as it grows.

As this is the first dedicated Business Analyst role at Swoop, you’ll need to be comfortable hitting the ground running, shaping the role, and leading work across system and process improvements. You will help define future-state ways of working, support the evaluation and selection of systems, and ensure that any changes to our CRM, CMS, and wider technology landscape are practical, well-adopted, and aligned to how our teams actually work.
Working pattern & flexibility
We are intentionally flexible in how this role works:
Full-time or part-time considered (minimum 30 hours per week) — salary and bonus will be pro-rated for part-time arrangements
Core collaboration hours are typically 9:00am–5:30pm, but we are open to flexible working patterns to support family and personal commitments, provided availability allows effective collaboration with stakeholders
Remote-first role within the UK
Optional office working from our Bristol office is welcomed at any time
Occasional travel to Bristol may be required for key meetings, workshops, or team collaboration

Key responsibilities
Act as a key representative of the Operations & IT function, working closely with the Head of Operations & IT and engaging confidently with stakeholders across the business
Map and analyse current (“As-Is”) systems, including CRM, CMS, and related platforms, to understand how they are used across the organisation
Define and maintain future-state (“To-Be”) processes and workflows, identifying inefficiencies and practical opportunities for improvement
Analyse data and system usage to generate insights that inform recommendations and decision-making
Identify gaps between current systems/processes and future requirements, translating business needs into clear, usable, jargon-free requirements
Evaluate, recommend, and support the selection of new systems and tools aligned to business needs and strategic objectives
Work collaboratively with stakeholders at all levels — including Directors, Heads of Sales, and Heads of Operations — building trust and clarity
Support delivery activities, including design reviews, testing, validation, user training, and implementation support
Lead and facilitate process walkthroughs and stakeholder discussions in a clear, structured, and engaging way
Contribute to continuous improvement initiatives across systems, processes, and data usage
Support strategic and operational projects led by the Head of Operations & IT
Understand and embody Swoop’s four sustainability priorities and embed in your day-to-day responsibilities, decision making, and collaboration
About you
You are an experienced Business Analyst who brings both confidence and humility to your work. You are calm, clear, credible and someone people trust quickly.
You will likely bring:
At least 5 years’ experience working as a Business Analyst on digital and/or systems change projects
Proven experience operating as the sole or lead Business Analyst, rather than as part of a large BA team
Experience working in a small or medium-sized business (SME) environment, where roles are hands-on and outcomes matter
Strong experience mapping As-Is processes and systems and defining pragmatic, achievable To-Be states
Demonstrated experience implementing or significantly improving CRM or core business systems, including requirements gathering, configuration, data migration, integrations, and user adoption
Excellent communication skills, with the ability to present clearly and confidently to senior leadership while also engaging operational teams
Polished presentation and facilitation skills, with the ability to keep discussions focused and productive
A practical, outcome-focused mindset — you avoid jargon and translate complexity into clarity
A self-starter attitude, comfortable working independently or as part of a small team
A collaborative, service-driven approach, with a calm and assured presence even in moments of change
Confidence to use your initiative and challenge constructively, without ego or rigidity
