About you
This is a high-impact role where you’ll be the organisational force behind our CEO, COO, and CTO—three dynamic and high-performing leaders.
You’ll be a calm, structured presence in a fast-paced environment, quick to prioritise, communicate, and get stuck into whatever’s needed.
You'll make space for the SLT to focus on where they add the most value and bring fresh thinking to how we operate—to improve and optimise the current set up, bringing both structure and spark to the SLT’s world—while helping shape how we work as a leadership team.
Around half your time will be spent supporting our COO, with the remainder spread across the wider SLT
Scope of Work
SLT-Wide Support
Coordinate all recurring meetings, 1:1s, and leadership sessions.
Protect focus time, especially for in-person collaboration in Bristol.
Plan and organise quarterly offsites, including logistics, travel, and materials.
Manage international travel and recce trips for the SLT.
Track annual leave and oversee related HR/IT logistics
Manage and process SLT expenses efficiently.
Supporting the COO
Take ownership of structured diary planning and prioritisation
Optimise operational processes to reduce administrative friction and improve efficiency
Conduct research, prepare summaries, and support ad hoc projects
Supporting the CTO
Regular check-ins to review priorities and upcoming actions.
Proactively manage diary planning and task lists to protect focus time
Supporting the CEO
Manage all diary planning for Swoop-related work
Help SLT meetings run smoothly and effectively
Schedule board meetings, 1:1s, and offsite planning sessions
Balance focus time and meeting commitments through structured diary management
What You Bring:
Excellent written and verbal English communication skills, with the ability to draft polished documents, emails, and presentations on behalf of senior leaders
Advanced skills in Excel/Google Sheets and presentation tools (e.g., PowerPoint, Google Slides) to be able to support the wider company
Experience supporting senior leaders in a fast-paced, high-performing environment
Excellent organisation and prioritisation skills - you thrive on keeping the plates spinning
Strong written communication and a natural ability to turn notes into polished documents or decks
Tech-savvy and comfortable using a range of project management and collaboration tools to stay organised, track progress, and communicate effectively
Confident, calm under pressure, and comfortable working independently
Flexible, curious, and eager to optimise how things work
Discreet and emotionally intelligent, able to manage sensitive information with care
(Bonus) Experience in the travel industry or with remote teams

Meetings are purposeful, well-prepared, and actions are followed through.
Travel and logistics run seamlessly
Clear, proactive, and consistent communication across the team
The EA is trusted as the SLT’s right hand, with admin fully off their plate

Holidays:
25 days paid holiday (pro rata), in addition to your birthday and public holidays
Working Hours:
Part-time, 25 hours per week. Monday to Friday between 9am - 5:30pm (UK time)
Working Arrangements:
Remote - This role is primarily remote, but we value face-to-face interactions for collaboration, training and team building. Occasional visits to Bristol office may be required

Working Hours:
This role is part-time at 25 hours per week (approx. 5 hours per day). The hours should fall within UK business hours (09:30–17:00 UK time) but can be arranged to match your preferred working times given the Chile–UK time difference. This means you’ll have flexibility to structure your day, while still ensuring good overlap with our UK-based team.
